Reports
Read your saved report runs, such as a show summary, a buyer list for packing or a cut sheet, with their totals, groups and line items as they were when the report ran.
The Reports page lists the report runs saved to your account and opens each one: its totals, then its groups or its line items. A run keeps the numbers from when it ran, so it still reads the same after your shows change.
Report runs are made on mellowstate.com, in the NotBot Data pages there: open a show and choose Run a report over this show. This page reads them; it does not run or change them.
To open it, click Reports in the sidebar under Data.
The pictures on this page come from a sample account.
The list of runs
Section titled “The list of runs”The list shows your runs, newest first.
| Column | What it shows |
|---|---|
| Report | The report’s name. Click it to open the run. |
| Covers | What the run covered: the show’s name (“(archived)” when that show is archived), the dates (in UTC), the platform, “one computer” when it covered the shows of one computer only, and how many more filters it used. Your whole account when it had no limits. |
| Ran | When it ran. |
| Size | How many line items, or how many groups and rows. |
| Status | Whether you can read it (see below). |
The list holds your 50 most recent runs. When you have more, the foot says “Showing the 50 most recent runs; older runs are not listed.”
| Status | What it means |
|---|---|
| Complete | The run finished and can be read. |
| Expired, numbers are from when it ran | The run is more than 24 hours old and is removed from your account shortly. Until then it can still be read, but changes to your shows since it ran are not in it. |
| Unavailable: a show in it was deleted | A show the run covered was deleted, so its rows and totals are gone. |
| Unavailable: it did not finish | The run stopped before it finished, so it has no rows or totals. |
The reports
Section titled “The reports”| Report | What it holds |
|---|---|
| Show Summary | Every sale and giveaway in one show, with its item, buyer, quantity and amount, as one list of line items. |
| Buyer List | Every buyer in one show, grouped by their box number, with what each one bought: the packing roster. |
| Cut Sheet | Combines every cut of the same item onto one line, with the total amount to cut and who bought what. For example “1 yard” and “1/2 yard” of one fabric become one line. |
A run’s page
Section titled “A run’s page”The top of a run’s page shows the report’s name, what it covers and its size, with its status at the right. Reports above the name takes you back to the list.
The totals
Section titled “The totals”Five totals come first. They are worked out over every row of the run, not added up from its groups.
| Total | What it counts |
|---|---|
| Recorded gross | What the sales brought in. Under it: sales without a price, payments still open (shown beside the gross, never taken off it), or Every sale had a price. |
| Sales | Every sale, split into auction, Buy It Now and offers. |
| Paid buyers | Different buyers with a priced sale. “at least” when some priced sales had no buyer. |
| Items | Units sold, not sales. A sale with no quantity recorded counts as 1, and the line under it says how many. |
| Giveaway wins | Giveaway winners drawn. They are not sales. |
Groups
Section titled “Groups”A Buyer List or a Cut Sheet shows its groups in a table: Group, Sales, Items, Paid buyers and Gross, plus To cut on a Cut Sheet. Under each group’s name is its number of rows and its sales without a price. A Buyer List group reads like “#4 · @username”: the box number, then the buyer.
Click a column heading to sort the groups by it. Click a group to open its rows: Item, Buyer (with their box number), Type, Qty, Amount and Computer, the computer that recorded the sale. Click it again to close it. Long lists have Previous and Next at the foot.
Line items
Section titled “Line items”A Show Summary lists every row instead of groups, under the headings Auctions, Buy It Now, Offers, Giveaways and Other activity, each in time order: Item, Buyer, Qty, Amount and Time. The times are in your own time zone, named at the foot. A giveaway shows Giveaway as its amount, and a sale without a price shows No price.
If something looks different
Section titled “If something looks different”A notice says “Some sales may count twice”
Some rows come from a show that another computer also recorded. In a saved run, a sale recorded on both computers counts twice in the totals. Those rows say “Also recorded by another computer”.
A notice says “These numbers are from when the report ran”
The run is past its 24 hours. Its numbers are as they were when it ran, and later changes to your shows are not in it.
The page says “This report is not on your account”
The link is to a run that is not on your account, or to one that was removed. Runs are removed after 24 hours, and your oldest run is removed when a new one would make more than 50. See your reports opens the list.
Why does a group’s gross say “at least”?
The amount reached the largest total the report could store, so the real figure is higher.
