Start Pay and set up your team

Start your Pay team, set its name and time zone, add your helpers and invite them, and tell Pay about your Whatnot accounts and work.

Last updated Oct 12, 2026 · Applies to MellowTools Pay

Pay keeps everything for one business in a team: its helpers, its consigners and its shows. This guide starts your team and adds the people who work for you. It takes about five minutes.

  • A MellowTools account whose plan includes Pay.
  • Each helper’s pay: an hourly rate, a rate per item (for work like photographing), and their share of the shows they run, if they get one.
  • New to Pay? Read How Pay works first.

Go to app.mellowtools.com and sign in. Click Pay in the menu on the left. The first time, the page says Start Pay. Click the Start Pay button.

Pay makes your team and names it after you, for example Dana’s team. You can rename it in the next step.

The Welcome to Pay page opens.

  1. Type your business name in Team name. Your helpers and consigners see it.
  2. Pick your Time zone. Pay’s weeks run Monday to Sunday in this time zone, and it uses it to decide which day a show belongs to.
  3. Click Save and continue.

Pay opens This week, which is empty until you add shows.

A helper is anyone you pay: the people who run your shows, and anyone who ships, sorts or photographs. They do not need a MellowTools account.

Click Team in the Pay menu, then click Add helper at the top right.

Fill in what applies to this helper and leave the rest blank:

  1. Name
  2. Their rates: Hourly rate for hours they log on the Work page, Per item for work you count (such as items photographed), and Share of shows they run, a percent of the net of each show they run
  3. Gets the tips from shows they run: it starts ticked. Untick it if this helper does not keep the tips from the shows they run

A helper can have more than one kind of pay. Their week adds it all up.

Step 5: Add their email to invite them, then click Add helper

Section titled “Step 5: Add their email to invite them, then click Add helper”

To let the helper sign in and see their own pay, type their email in Email (optional). Pay emails them an invite. You can also invite them later.

Click Add helper. They are on your team and you can pick them as a runner on shows.

Back on the Team page, the Sign-in column shows where each helper stands:

  • Signed in with the email they use. End sign-in stops them seeing their pay; they stay on your team.
  • Invited · waiting: they have not joined from the invite yet. Send again sends a new link (the old one stops working). Cancel invite cancels it.
  • No sign-in: click Invite to see their pay, type their email and click Send invite.

An invite link works for 7 days. To change someone’s rates, click Edit on their line. New rates apply to new shows and work only.

Tell Pay about your Whatnot accounts and work

Section titled “Tell Pay about your Whatnot accounts and work”

At the bottom of the Team page, under More, click Settings.

In Whatnot accounts, type each Whatnot seller account you send shows from, one per line, and click Save.

When you send a show from Whatnot, the MellowTools extension uses this list to pick this team for you.

Work activities are what helpers log on the Work page. A new team starts with Inventory and Shipping, paid by the hour, and Photographing, paid per item.

To add one, type its name in Activity name, choose By the hour or Per item, and click Add activity. Removing an activity keeps it on work already logged.

Step 10: Add tags for your shows (optional)

Section titled “Step 10: Add tags for your shows (optional)”

Tags are labels you put on shows, like Coins or Giveaway night. The Report page can filter your numbers by tag. Type a name in Tag name and click Add tag.

If you use NotBot, you can link each show in Pay to the show NotBot recorded. Then you and the show’s runner can see every item that sold right on the show’s page.

On the Team page, in the NotBot data box, click Share my NotBot data. Only the team’s owner can start sharing, and only their own NotBot data. Consigners see the items and prices from their own shows, never who bought them.

When your data is shared, the box says so and has Stop sharing instead.

The Pay page says Pay isn’t on your account

Starting a team needs a plan that includes Pay. Without one, Pay is not in the menu until someone invites you. If someone invited you to their team, open the link in their invite email instead. See Join a team as a helper or consigner.

My helper never got the invite

Check the address on the Team page. Click Send again to send a new link, or Cancel invite and invite the right address. They can sign in with any account; it does not have to be the address the invite went to.
